Privacy Policy

1. Information We Collect

We collect information you provide directly to us, such as when you create an account, create an event, or contact us for support.

Personal Information:

  • Name and email address
  • Event details and preferences
  • Client information for event management
  • Communication preferences
  • Photos uploaded to the gallery

2. How We Use Your Information

We use the information we collect to:

  • Provide and maintain our services
  • Process your event bookings and management
  • Send you important updates and notifications
  • Improve our services and user experience
  • Respond to your questions and support requests
  • Send marketing communications (with your consent)

3. Information Sharing

We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except in the following circumstances:

  • With your explicit permission
  • To comply with legal obligations
  • To protect our rights and safety
  • With service providers who assist in our operations

4. Data Security

We implement appropriate security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption of data in transit and at rest
  • Regular security assessments and updates
  • Access controls and authentication
  • Secure hosting and infrastructure

5. Cookies and Tracking

We use cookies and similar tracking technologies to enhance your experience on our platform. These technologies help us:

  • Remember your preferences and settings
  • Analyze how our services are used
  • Provide personalized content and features
  • Improve our services and performance

We use Google Analytics to help us understand how visitors interact with our website. Google Analytics uses cookies and similar technologies to collect information about your use of our website. This information is used to compile reports and help us improve our services. You can learn more about how Google uses data by visiting Google's Privacy Policy.

5.1. Email Storage for Convenience

When you enter your email address on our ticket purchase form, we store it locally in your browser using cookies and local storage. This allows us to pre-fill your email address the next time you purchase tickets, making your experience more convenient. This information is stored only on your device and is not transmitted to our servers unless you complete a ticket purchase.

5.2. Optional organizer app analytics

With your permission, the InstantGate organizer app uses Firebase/Google to collect usage and diagnostic data, including app and device metadata and a pseudonymous installation identifier. Signals include first measured use, account registration and login outcomes, event editor steps, validation and save outcomes, cancellation, and app background activity. We use these signals to understand where people encounter difficulties and improve the app. The new product analytics events do not include names, email addresses, passwords, or event content.

You can opt in using the optional, initially unchecked usage-data checkbox after sign-in, before entering the app, or in Settings under Usage privacy. Leave the checkbox unchecked to decline, and change your choice in Settings anytime. Declining does not block access to app features. Turning it off stops future collection covered by this choice. Advertising measurement and other existing processing remain separate; this setting does not disable all tracking or all data processing in the app.

6. Your Rights

You have the right to:

  • Access your personal information
  • Update or correct your information
  • Delete your account and data
  • Opt-out of marketing communications
  • Request data portability
  • Lodge a complaint with supervisory authorities

7. Data Retention

We retain your personal information for as long as necessary to provide our services and fulfill the purposes outlined in this policy. We will delete or anonymize your data when it's no longer needed.

8. Children's Privacy

Our services are not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately.

9. International Transfers

Your information may be transferred to and processed in countries other than your own. We ensure that such transfers comply with applicable data protection laws and implement appropriate safeguards.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.

11. Contact Us

If you have questions about this Privacy Policy, please Contact us

12. Connected assistants

When you connect an assistant such as ChatGPT or Claude, you sign in and approve access permissions. InstantGate checks these permissions and your current event role. The assistant sends arguments for requested actions and receives permitted results, which may include event and ticket information, organizer and attendee contact details, check-in status, notification content and recorded-order totals. InstantGate does not request or automatically retrieve your complete conversation through this connector; it receives the action arguments you or the assistant provide. The assistant handles returned information under its own privacy terms.

Event image imports store a validated copy of the original image in Firebase Storage; removal of embedded image metadata is not guaranteed. Download links may be returned to the assistant and displayed on event pages. Anyone with a working download link may access the image. Replacing or removing an event image reference does not automatically delete earlier stored copies.

Explicit support reports store your account identifier, report summary, optional event reference, status and responses. Some technical failures automatically record your account identifier, action name, error category, timestamps and occurrence count, without action arguments, raw error text or conversation content. Do not include secrets or attendee information in support reports.

Notification drafts and previews store content and eligible recipient information. A preview does not send messages. Approved delivery supplies the message and recipient address to our email service or Twilio for SMS. The connector also stores connection, retry and pagination records needed to authorize and reliably process actions.

These records are covered by the retention rule in Section 7. Disconnecting an assistant or expiry of a token or preview does not automatically delete stored events, images, drafts, previews or reports. To request access, correction or deletion, contact louka@instantgate.app.
